Privacy Policy

APlus is committed to protecting the privacy and personal information of our clients. Personal information is defined as ‘information or an opinion relating to a person that is recorded in any form that can be used to identify the person’. Our clients include applicants for positions with the organisation; apprentices and trainees we employ; students that access our training programs and service; and Host Employers that use our services.

The management of personal information by APlus, mainly associated with the recruitment, employment, placement and training services, is required to comply with the National Privacy Principles contained in the National Privacy Act 1988.

It is the policy of APlus to meet the privacy responsibility to our clients by:

  • Only collecting personal information that is necessary for the function and activities of the organisation,
  • Collecting information in a fair and lawful manner,
  • Using or disclosing personal information for the primary purpose for which it was collected,
  • Taking reasonable steps to ensure that personal information collected is accurate, complete and kept up-to-date,
  • Taking reasonable steps to protect personal information from unauthorised use or disclosure, misuse, loss or modification,
  • Provide access by an individual or organisation to their personal information upon request,
  • Not selling, renting or trading personal information collected to a third party,
  • Taking reasonable steps to destroy or permanently de-identify personal information that is no longer required for the purpose it was collected,
  • Ensuring that staff are provided with information on the implementation of the National Privacy Principles, and
  • Providing information to our clients on our management and use of personal information.

The implementation of this policy is the responsibility of all staff and management of APlus.

Personal Information Collected

APlus collects personal information essential to providing our services and information required by the State and Federal Government Departments.

The information collected will vary for various clients but may include, but not limited to, your name, date of birth, addresses, contact number(s), email address, drivers license number, tax file number, bank account details, Australian Business Number and State Training Board Registration Number.

Collection Methods

APlus use a number of collection methods. Where practical, we prefer to collect personal information directly from an individual or organisation. This is done by the filling out of a form by a person, personal interview or meeting, phone conversation or from material supplied by a person such as a business card or resume. We also collect information from our web site through receiving position and placement applications and emails.

Third parties provided by our clients as a reference for the purpose of employment, education and training and credit checks are also used as source of information.

Information can also be collected from ‘public domain’ sources such as the telephone book, trade directories, and web sites.

Use and Disclosure of Personal Information

Personal information is used and disclosed for the primary purpose for which it was collected and any reasonably expected secondary purpose related to the primary purpose. Typically this includes:

  • Communicating with our clients and suppliers,
  • Managing and providing the organisation’s services to our clients,
  • Complying with our legislative and regulatory responsibilities,
  • Conducting pre-employment and credit checks, and
  • Marketing our services.

To Whom we may Disclose Personal Information

APlus will disclose necessary personal information to people or organisation where it is required to conduct the business of the organisation; provide services to our clients or where required by law. These people and organisations include:

  • A Host Employer using our services,
  • Government and Statutory Authorities,
  • New Apprenticeship Centres,
  • Other organisations and individuals supporting APlus in providing our services, such as Registered Training Organisations, and
  • Anyone else that APlus is authorised to disclose personal information to.

Any personal information collected from these organisations or individuals will be treated in compliance with the National Privacy Principles.

Accuracy of Personal Information

APlus endeavors to obtain accurate personal information and keep it up-to-date. The accuracy of information depends largely upon the personal information that an individual or organisation supply and updates that they provide. Our clients have a responsibility to correct any information provided.

APlus takes reasonable steps to check the accuracy of personal information received and will not intentional use or disclose information that is inaccurate.

Security of Personal Information

APlus takes reasonable steps to ensure the security of personal information collected and to prevent unauthorised access or modification, misuse or loss. This includes the use of security devises; electronic security passwords; and the implementation of an Information and Records Management Code of Conduct.

Our management and staff are required to respect the confidentiality of personal information collected and are responsible for the implementation of the National Privacy Principles.

APlus destroys or permanently de-identifies personal information that is no longer required for the purpose it was collected.

Right of Access to Personal Information

Organisations and individuals have a right to access personal information that APlus has collected, subject to some limitations in Commonwealth legislation.

APlus will charge a fee to conduct a search and for any copying of the information required.

Access to personal information can be obtained by contacting the Privacy Officer at APlus. Positive identification is required before disclosure of any information.

This policy is a requirement of Standard 2 and 4.1 of the National Standards for Group Training Organisations and Standard 2 and 4.1 of the AQTF for Registered Training Organisations. The policy has been developed with consideration of access and equity principles and legislative requirements.
